NDIS Terms of Service

Our Service Agreement terms for NDIS participants — written in plain English, with an Easy Read version available on request.

These terms apply when you receive supports from Being Physio that are funded by the National Disability Insurance Scheme (NDIS). They form the Service Agreement between you (the participant) — or your nominee, plan manager or guardian — and Being Physio Pty Ltd, a registered NDIS provider.

Purpose & guiding principles

Our purpose under this agreement is to deliver supports that help you pursue the goals in your NDIS plan, in the way you choose, with respect for your rights, dignity and independence. We work in line with the NDIS Act 2013 (Cth), the NDIS Practice Standards, and the NDIS Code of Conduct.

We are committed to:

  • Choice and control — you decide who provides your supports, when and how
  • Cultural safety — care that respects your background, identity and lived experience
  • Person-centred practice — supports built around your goals, not ours
  • Zero tolerance — no abuse, neglect, exploitation, violence or discrimination

Supports we provide

Being Physio is registered to deliver the following NDIS supports:

  • Therapeutic supports — physiotherapy, occupational therapy, podiatry and exercise physiology (Capacity Building — Improved Daily Living)
  • Assistive technology assessments and prescription
  • Home and living assessments, including minor home modifications recommendations
  • Group and community participation through clinical exercise programs (Capacity Building — Increased Social and Community Participation)

Your specific supports, frequency and duration will be detailed in the Schedule of Supports attached to your Service Agreement.

Responsibilities of each party

Being Physio will

  • Provide supports that meet your goals and the NDIS Practice Standards
  • Treat you with courtesy, dignity and respect
  • Listen to and act on your feedback
  • Give you information about supports in a way you can understand
  • Keep accurate, confidential records
  • Issue clear invoices and only charge agreed rates
  • Give appropriate notice if a clinician changes
  • Protect your privacy in line with our Privacy Policy

You agree to

  • Tell us about your goals, needs and preferences
  • Treat our team with courtesy and respect
  • Tell us if your NDIS plan is reviewed, suspended or replaced
  • Let us know about safety concerns at your home (in-home visits)
  • Give us at least 2 business days' notice to cancel
  • Pay any agreed gap fees promptly
  • Tell us if you wish to end the agreement

Payments & invoicing

We charge in line with the current NDIS Pricing Arrangements and Price Limits. We will not charge above the price limits set for the relevant support category.

If you are agency-managed

We will claim payment directly from the NDIA through the myplace provider portal after each session.

If you are plan-managed

We will send invoices to your plan manager. Please give us their contact details at the start of the agreement.

If you are self-managed

We will invoice you directly. Invoices are payable within 7 days, after which you can claim reimbursement from the NDIA.

Where the NDIS price guide allows, we may also charge for non-face-to-face activities directly related to your supports — such as report writing, plan-review preparation and clinical correspondence — at the rate listed in your Schedule of Supports.

Short-notice cancellations

In line with the NDIS Pricing Arrangements, a short-notice cancellation occurs when you:

  • do not show up for a scheduled session within a reasonable time, or are not present at the agreed location when the clinician arrives, or
  • have given less than two clear business days' notice for an appointment

Where this happens, we may claim 100% of the agreed support price from your NDIS plan, in line with the current NDIS rules.

Changes to supports

If either of us wants to change this agreement — for example, the frequency of sessions, who delivers them, or the goals being worked on — we will discuss it together and update the Schedule of Supports in writing before the change takes effect.

Ending the agreement

You can end this agreement at any time by giving us two weeks' written notice. We can also end the agreement, by giving you two weeks' notice, if we are unable to safely or appropriately continue providing supports. In serious situations — such as a risk to safety — either party may end the agreement immediately.

Feedback & complaints

Your feedback helps us improve. If something isn't right, please tell us as early as you can. You can speak to your clinician, our Clinic Manager, or use the form on our Customer Feedback page. We will acknowledge your concern within five business days and work with you toward a resolution.
